The Role
As Executive Assistant to the CEO, you will provide trusted, high-quality support to Revolution’s CEO, creating structure around his time, priorities, communications and commitments so he can focus on leading and growing the business.
This is not a conventional administration role focused simply on managing a diary. You will operate close to the centre of Revolution, with visibility across clients, people, commercial priorities, strategic programmes and the day-to-day decisions that keep a fast-moving agency progressing.
You will take ownership of the CEO’s diary and inbox, coordinate meetings and travel, prepare information ahead of important conversations and make sure the right people have what they need at the right time. You will protect the CEO’s time, anticipate conflicts and create order around constantly competing priorities.
A major part of the role is follow-through. You will use meeting notes, recordings and agreed actions - and attend selected meetings where appropriate - to capture decisions, allocate actions, chase outstanding requirements and make sure commitments do not disappear once the meeting ends.
You will become a trusted point of coordination between the CEO and people across Revolution, the wider C-suite, clients, partners and external stakeholders. You will need excellent judgement around what to handle directly, what to delegate, what to chase and what genuinely needs the CEO’s attention.
While your primary responsibility will be supporting the CEO, there will be times when you provide practical executive support to other members of Revolution’s C-suite, particularly around meetings, travel, coordination and high-priority business activity.
For the right person, this is an unusually high-impact Executive Assistant opportunity: working directly with the CEO of an ambitious growth agency, gaining exposure to the decisions and initiatives shaping the business and making a visible difference to how effectively the leadership team operates.
What You’ll Do
CEO Partnership & Executive Support
Act as a trusted day-to-day partner to the CEO, helping create structure, focus and momentum around the priorities that matter most.
Build a strong understanding of the CEO’s responsibilities, working style, commitments and priorities so you can anticipate requirements rather than simply react to requests.
Provide practical support across the CEO’s working day, removing administrative friction and resolving routine issues before they become distractions.
Handle confidential, commercially sensitive and people-related information with complete discretion and sound judgement.
Take genuine ownership of executive support rather than waiting to be instructed on every action or next step.
Diary, Time & Priority Management
Own and actively manage the CEO’s diary, balancing internal priorities, client commitments, partner meetings, leadership activity, travel and focused working time.
Prioritise meeting requests based on business importance, urgency, relationships, dependencies and the CEO’s wider objectives.
Coordinate complex internal and external meetings, ensuring attendees, timings, locations, links and supporting information are accurate and confirmed.
Maintain a clear forward view of recurring commitments, key business dates, important client activity, events and deadlines.
Ensure agendas, briefing notes, documents and other materials are available in advance of meetings where preparation is required.
Inbox & Executive Communications
Take active responsibility for managing and organising the CEO’s inbox, reducing noise and ensuring important communications receive appropriate attention.
Triage incoming messages by urgency, importance and required action, escalating only those matters that genuinely need the CEO’s personal input.
Chase information, approvals and responses from internal and external stakeholders where the CEO is waiting on an outcome.
Maintain clear organisation and filing of important correspondence so previous decisions, commitments and context can be found quickly when needed.
Coordinate communications across email, messaging platforms, calls and meeting follow-ups so requests are not duplicated or allowed to fall between channels.
Meetings, Actions & Follow-Through
Support the preparation of leadership, client, partner and internal meetings by confirming objectives, attendees, agendas and required materials.
Attend selected meetings where useful in order to capture decisions, actions, owners, deadlines and follow-up requirements accurately.
Use meeting notes, transcripts, recordings or other available materials to identify actions and translate discussion into clear next steps.
Produce and distribute concise action summaries to the relevant people, making responsibilities and required timescales clear.
Keep the CEO informed of overdue, blocked or high-risk actions without requiring him to manually track progress across multiple conversations.
Travel, Logistics & Executive Coordination
Plan and book UK and international travel, including flights, rail, accommodation, transfers and other required logistics.
Build efficient itineraries that account for meeting times, travel duration, time zones, preparation requirements and realistic contingency.
Manage changes, cancellations and disruption quickly, finding practical alternatives and keeping the CEO and relevant stakeholders informed.
Prepare clear travel itineraries containing confirmations, contact details, meeting information, locations and any supporting documentation required.
Arrange venues, hospitality, dinners, off-sites and other executive-level logistics where these form part of client, partner or leadership activity.
Support expense administration, receipt capture and reconciliation connected to travel and business activity.
C-Suite, Stakeholder & Business Support
Provide practical executive support to other members of Revolution’s C-suite when required, without losing clarity around the CEO as your primary responsibility.
Act as a reliable coordination point between the CEO, senior leadership team and wider business, ensuring requests and information reach the right people.
Support leadership and board-style meetings with scheduling, agenda coordination, papers, notes, actions and follow-up where appropriate.
Make sure requests for the CEO are routed intelligently, resolving straightforward matters directly or directing them to the correct internal owner where possible.
Executive Administration
Create and maintain simple, reliable systems for diary management, actions, follow-ups, travel, meeting preparation and executive administration.
Maintain organised, secure records of important documents, meeting materials, decisions, contacts and executive information.
Identify recurring sources of friction or wasted time and introduce better ways of working rather than repeatedly managing the same problem.
Maintain consistently high standards of accuracy, responsiveness, discretion and follow-through across everything you own.
About You
You’ll likely be a strong fit if you:
Have significant experience working as an Executive Assistant, Personal Assistant or similar role supporting a CEO, Managing Director or equivalent senior executive.
Have direct experience providing high-trust support to a Chief Executive in a busy, fast-moving environment with competing priorities and limited time.
Are exceptionally strong at diary and inbox management and understand that great executive support is about prioritisation and judgement, not just administration.
Are proactive by default. You anticipate what will be needed, spot gaps early and take action without waiting to be asked.
Have excellent judgement and know what needs the CEO’s attention, what can be delegated, what can be solved yourself and what simply needs a clear follow-up.
Are confident chasing actions and requirements diplomatically but persistently, even when the people involved are senior or extremely busy.
Remain calm and dependable when plans change, priorities collide or something important needs resolving quickly.
Have exceptional attention to detail and naturally notice missing information, timing conflicts, incomplete actions and inconsistencies before they create problems.
Build strong working relationships quickly and are comfortable acting as a trusted point of coordination across a leadership team and wider business.
Understand that the role sometimes requires flexibility around important meetings, travel and changing executive priorities, while still operating within a sustainable working pattern.
It would be helpful if you also have:
Experience supporting a CEO or senior executive within an agency, consultancy, professional services business or other fast-growth SME environment.
Experience working in marketing, technology, SaaS, digital transformation or another commercially fast-moving B2B environment.
Experience coordinating international travel, multi-location diaries and meetings involving different time zones.
Experience supporting senior leadership, board or management meetings through agenda preparation, note taking, action capture and follow-up.
Strong working knowledge of productivity and collaboration platforms such as Microsoft 365 or Google Workspace, Teams, Slack, Zoom and modern meeting-note tools.
Experience coordinating projects, action trackers or cross-functional initiatives where progress depends on consistent follow-through.
Experience organising leadership off-sites, client hospitality, conferences or other executive-level events and logistics.
